The Enrollment Specialist conducts the intake and enrollment process for families seeking childcare services. This includes receiving applications, conducting pre-screenings to determine eligibility and need, collecting and verifying supporting documentation, and completing the enrollment process.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Duties may include, but are not limited to, the following:
Receive and review child-care applications to ensure accuracy and completeness.
Conduct pre-screening to assess applicants’ eligibility and need for child-care services.
Collect and verify all necessary documentation to determine program eligibility, while ensuring the confidentiality of sensitive family information.
Contact third-party entities, such as employers or clinics, to confirm a qualifying need for childcare assistance.
Schedule and complete the enrollment process once all required documentation has been received and verified.
Accurately enter family data into the NOHO database, including any other database required.
Respond to inquiries from families.
Conduct regular follow-ups with applicants to ensure timely submission of documentation and continued progress in the enrollment process.
Participate in community outreach events to promote awareness of child-care programs and services.
Attend staff meetings, training, and professional development opportunities as required.
Maintain an up-to-date and accurate enrollment tracking system.
Collaborate with the Provider Liaison and the Resource & Referral department to support families in securing a child-care provider.
Ensure all enrollments comply with contract requirements, Funding Terms and Conditions, and Title 5 regulations.
Adhere to organization and program policies, standards, and procedures.
Maintain regular and reliable attendance.
Duties and responsibilities may be modified at the program’s discretion.
May perform other related tasks as assigned.
QUALIFICATIONS:
High School Diploma or equivalent; AA degree or higher preferred.
Bi-lingual Spanish/English required.
Ability to perform complex program requirements.
Strong organizational, analytic, and administrative skills.
Proficient in reading, writing, math, and understanding work-related material.
Strong written and oral communication skills required.
Excellent customer service and problem resolution skills.
Computer skills with proficiency in Microsoft Office and the internet.
Experience handling sensitive and confidential matters.
Experience working with childcare providers and CalWORKs participants receiving.
subsidized child-care assistance is preferred.
Working knowledge of the existing County welfare system, preferred.
Sincere commitment to providing quality service to the public.
Sensitivity and ability to work well with diverse social, ethnic, religious, and cultural groups.
Must be able to work with minimum supervision in a fast-paced environment.
Must be in good physical and mental condition.
Must possess Live Scan clearance during employment. Revoked fingerprint clearance will lead to immediate termination of employment.
Ability to drive and travel, as required.
Ability to maintain cooperative, diplomatic working relationships with co-workers, supervisors, and the public; work as part of a team and collaborate with colleagues; and complete projects under tight deadlines even when there are competing requirements and changes in assignments.
Ability to work Monday through Friday, assigned schedule. However, based on the program needs, must have the ability to work flexible days and weekends, if needed.
